2024 Summer Community Meeting Notes

Introduction: We welcomed everyone and had visitors sign in. We had over 20 members of our community join! Let’s bump up those numbers for our first Official Voting Meeting in Fall! We are also looking for a community sponsor to cater our next event.
Topics:
The Differences between The Village Club HOA and the Townhomes on Grassdale HOA. We answered questions and received feedback and concerns from the townhouse residents regarding the townhome management. TVCHOA will be sitting down with the townhouse management company soon to relay these issues.
The HOA Board: The Village Club HOA currently has openings on the board that need to be filled. If you are interested in joining and helping your community, please email us at tvchoa@gmail.com. It was also brought up that we vote for a new board of directors for the townhouses. If you are interested in joining the townhome board, you can email us as well, and we will discuss it with your management.
Clubhouse: We discussed the plans for the clubhouse and renting it out to the residents of the community for parties or personal events. A couple things are needed to get that process started.
1) We will need to have the roof repaired. We are currently working with members of the community to get quotes on repairs.
2) We need a new refrigerator as the current one is broken. If you have an older one you would like to donate or sell, please reach out to us!
3) There are a few items that need completed by a handyman. If you know someone in the community, please have them reach out to us so we can get the clubhouse in a presentable shape! We hope to be able to start renting it out in a couple of months.

Delinquency and Due Forgiveness Program: We answered more questions about the program and had more Village Club residents enroll. Sorry Townhome residents, your association has not implemented this program. Remember Enrollment for the Village Club Ends 8/31/2024! Here is data before and after new management took over and the program started.

Initiatives: WE WANT YOUR IDEAS! At the meeting we discussed options to repurpose the tennis courts and the old pool area. Ideas included a Dog Park and a Playground with a walking track around it. If you have an idea for the community, Email us or submit them through the contact us form on tvchoa.com.
The Mailbox Situation: It was brought to our attention that there have been ongoing issues with the community mailboxes. We are in conversations with the postmaster regarding possibly having them removed and changing the mail to be delivered to individual homes. This would be a big undertaking that all homeowners without personal mailboxes will need to agree to. We are considering offering to install mailboxes on an individual level or by special assessment for all houses needing a mailbox. We would love to hear your thoughts!
Events: We have three proposed events for the rest of the year. A Fall Festival, Halloween Night Event, and a Christmas Party. We are looking for Volunteers for all events! If you want to help, please email us or submit an online form.
Closing Statements: We had so much to present and so many questions to answer! Your involvement in each meeting moving forward is crucial to the health of our community. Cheers to a new beginning!
